Accessibility FAQ
Organisers: this page is a template. Replace the placeholder answers below, and put a named contact in the first paragraph. An accessibility page with real answers to fifteen questions is far more useful than a polished statement of intent.
Our conference is committed to providing an inclusive environment. This page covers both physical and financial access, so you can make an informed decision about whether the conference will be accessible to you.
If you have a question that is not answered here, or you want to discuss your needs in confidence, please contact our accessibility chair ANSWER: name at ANSWER: email. We will work with you to the best of our ability to make the conference accessible.

How do I tell the organisers about my accessibility needs?
ANSWER. Say where in the registration process needs are collected, who reads those responses, and how far in advance you need to know in order to arrange support.
Who do I ask if my question is not answered here?
ANSWER. Give a named person and a monitored email address, not a generic form.
Will sign language interpretation or captioning be available?
ANSWER. State which languages, whether it is provided on request or by default, and the deadline for requesting it.
What are the taxi and public transport options for reaching the venue?
ANSWER. Include step-free route information and whether accessible taxis need booking in advance.
Who can I ask about accessibility in the host city?
ANSWER. Link local access guides and disability organisations.
Can a student volunteer assist me during the conference?
ANSWER. Say what kinds of assistance are available and how to arrange it.
What is the conference space like?
ANSWER. Describe room sizes, lighting, flooring, seating, crowd levels and distances between rooms. Photographs and a floor plan help more than prose.
Is the venue accessible by wheelchair or power scooter?
ANSWER. Cover entrances, lifts, door widths, ramps, and any areas that are not accessible. Name the parts that are not, explicitly.
What are the restroom facilities like?
ANSWER. Cover accessible stalls, gender-neutral facilities, and locations.
What are the arrangements for presenters with accessibility needs?
ANSWER. Cover stage access, seated presentation, lectern height, remote presentation, and technical assistance.
Can I bring my guide dog or assistance animal?
ANSWER. Include any national import or documentation requirements, and where relief areas are.
Can I attend remotely?
ANSWER. State whether a remote attendance option exists, what it includes, and its cost.
How much walking or standing will be needed?
ANSWER. Give distances between venues and whether seating is available in queueing or standing areas.
Will there be a hearing induction loop?
ANSWER. Say which rooms have one and how to use it.
Will speakers and audience questions use a microphone?
ANSWER. State the policy — session chairs enforcing microphone use for audience questions makes a large difference and costs nothing.
What food service will be provided?
ANSWER. Include what is served, where, and whether seating is provided.
Can you accommodate dietary requirements?
ANSWER. State which requirements you can meet, how to declare them, and the deadline.
Will the venue be smoke-free?
ANSWER. Include vaping, and where designated smoking areas are.
Will there be loud music, strobe lighting or other strong sensory experiences?
ANSWER. This matters a great deal at conferences with a performance programme. Say how such events are labelled in the programme, whether ear protection is available, and whether there are lower-intensity alternatives.
Will there be a designated quiet space?
ANSWER. Give the location, opening hours, and the rules for using it.
What if I have a medical emergency during the conference?
ANSWER. Give first aid arrangements, the nearest hospital, and the local emergency number.
What financial support is available?
ANSWER. Cover registration waivers, travel bursaries, carer registration, and how to apply.
